Identification Cards for Visiting Scholars

Visiting Scholars and Visiting Student Researchers are senior and junior researchers who are not compensated by the University. All visiting scholars and visiting student researchers are eligible for Cal 1 Photo Identification Cards. Affiliates in these visiting categories are appointed to their positions via dual track process involving the VSPA Program and a departmental non-employee HRMS transaction.

To get a Cal 1 Photo Identification Card, the affiliate must have already received a VSPA Program Affiliate Authorization letter that is issued from the VSPA Program to the sponsoring department. This authorization letter, a patent acknowledgement, and the payment of $200 for the University Services Fee must be taken to the VSPA Program Office located at 44 Barrows Hall.

The VSPA Program Office is open from Monday through Friday, from 1:30 pm to 4:30 pm only. For more information about the VSPA Program, go to the web site which is http://vspa.berkeley.edu. Additionally, you may call 510.643.9681 or e-mail vspa@berkeley.edu.

PATENT ACKNOWLEDGEMENT: Visiting scholars and visiting student researchers are required to present a Patent Acknowledgement containing original signatures from both the postdoc and a sponsoring department employee witness. UNIVERSITY SERVICES FEE: All visiting scholars and visiting student researchers are required to pay an annual fee of $200.

If the sponsoring unit pays the University Services Fee, the unit:

  1. prepares an Interdepartmental Order Form with appropriate departmental chartstring. The form should indicate the name of the affiliate and include the chart string to be debited. The VSPA Program will debit the account $200 for each scholar listed. For information related to the transfer of funds, contact the VSPA Program Office at 510.643.9681.
  2. directs the visiting scholar to take the Interdepartmental Order Form and original copy of Patent Acknowledgement to the VSPA Program Office.

If the University Services fee is paid by the Visiting Scholar, the affiliate goes to the VSPA website and clicks on University Services Fee to make an electronic payment. Please note that a credit card or ATM debit card with a Visa, MasterCard or American Express logo on it will be needed to make a payment. In addition, the affiliate will need a non-activated CalNet ID number to make an electronic payment. This number is available from the sponsoring department.

To use e-Pay, go to https://vspa.chance.berkeley.edu/epay_post.cfm. Cash, credit card payments, and bank wire transfers are NOT accepted. After you have submitted the payment online, the website will bring up your receipt.
Wait 72 hours after obtaining your CalNet ID number before visiting the Cal 1 Card Office at 110 Cesar Chavez Center, Lower Sproul. It is open from Monday to Friday, 9am to 5pm. Please be prepared to present a photo ID card, e.g., driver’s license or passport, for identification purposes. Your picture will be taken and you will be given your photo ID.
